US Martial Arts Team
Last updated: 09/20/2026
The US Martial Arts Team ("USMAT," "we," "us") is a national martial arts organization. This policy explains what information we collect, why, and how we handle it.
Most of the people we serve are children. We take that seriously, and this policy sets out what we do with their information.

Automatically
- Basic technical information when you use our portal, such as the device and browser used to sign in
Why we collect it
- To run the team — registering athletes for trainings and events, managing rosters, and recording attendance
- To take payment — membership fees and event registrations
- To keep athletes safe — emergency contacts, signed waivers, and coach background checks
- To meet AAU requirements — USMAT is an AAU-affiliated organization, and AAU membership registration requires certain athlete details
- To communicate — confirmations, reminders, schedule changes, and team announcements
We do not use personal information for advertising, and we do not build profiles for marketing purposes.
Children's information
USMAT serves athletes under 18. Information about a child is provided by their parent or guardian, and we communicate with the parent or guardian rather than the child.
We do not knowingly collect information directly from a child under 13 without parental involvement.
A parent or guardian may review, correct, or request deletion of their child's information at any time by contacting their area coach or emailing info@usmat.org.
Who we share information with
We share personal information only where it is necessary to run the organization:
- Amateur Athletic Union (AAU) — athlete and coach details required for AAU membership registration, which is part of USMAT membership
- Stripe — payment processing. Card details are handled by Stripe and never stored by USMAT.
- Service providers — the companies that host our portal and send our email and text messages, acting on our instructions
- Where the law requires it
Coaches can see the athletes on their own roster and their guardians' contact details, so they can run sessions and reach families. They cannot see other coaches' athletes or any financial information.
We do not sell personal information. We do not rent or trade it. We do not share mobile numbers or text-message consent with anyone for marketing purposes.
Text messages
If you opt in to text messages, your mobile number is used only to send the operational messages described on our SMS Text Message Program page.
Consent is not required to be a USMAT member, and you can stop at any time by replying STOP.
Mobile numbers and consent information are never shared with third parties for marketing.
How long we keep it
We keep membership records, signed waivers, payment records, and attendance history for as long as necessary to run the organization and meet our legal and insurance obligations.
Records of former members are archived rather than deleted, so that historical membership, waiver, and payment information remains available if needed.
How we protect it
The USMAT Portal requires a password to sign in. Access is limited by role — a coach sees only their own athletes, a director only their own region.
Payment card details are handled entirely by Stripe and are never stored by USMAT.
No system is perfectly secure, but we take reasonable steps to protect the information we hold.
Your choices
Families can view and update their own contact details and their athletes' emergency contacts in the portal at any time.
To correct information you cannot change yourself — an athlete's name, date of birth, or rank — contact your area coach.
To stop receiving emails, use the unsubscribe link in any non-essential email. Transactional messages such as payment receipts and renewal notices will continue, as they are part of your membership.
To stop receiving text messages, reply STOP to any message.
To request a copy of your information, or its deletion, email info@usmat.org. We will respond within 30 days. Some information must be retained where we have a legal or insurance obligation to keep it.
Changes to this policy
We will update this page when our practices change, and revise the date at the top. Material changes affecting how we use personal information will be notified by email.
